JOB DESCRIPTION
Perform the various clerical functions associated with providing service to customers in a computerized Electrical Inspection Processing Centre. Functions include: processing electrical inspection applications for residential, commercial and industrial, new or temporary installations, additions or alterations, or for the approval of electrical equipment (Special Inspections); general, and annual or CSS inspections. The service requires, applying fees, handling cash or processing charge accounts for inspection fees, sale of code manuals and other payments, preparing and delivering daily bank deposit, issuing invoices, deficiency and delinquent account notices, connect or disconnect authorizations, coordinates, collecting shortages or processing refunds, following up on various deficiency or defect deadlines and permit expirations, and providing service to customers at the counter.
Access computerized accounting system to perform the various accounting activities. Enter appropriate amounts for all transactions including refunds and credit notes and balance accounts receivable. Check and sign daily cash count sheet, and prepare bank deposit ensuring safe delivery to the bank. Contact customers regarding returned cheques. Maintain contact with bank personnel on balancing or returned cheques. Maintain a deferred contractor list and notify other offices to add or remove contractors from the deferred list. Prepare request for security investigator to check on delinquent accounts. Prepare requests for Territory Manager or Accounting Department to write-off non-collectable accounts. Process forms for small claims court or collection agency action. Issue temporary receipts (credit notes) as required and forward information to the correct inspection office. Balance cash and accounts at end of day. Perform month end balance of accounts receivable. Prepare accounts receivable reconciliation and bank statement reconciliation. Verify that monthly reports to Accounting are accurate.
Provide service to customers on the telephone and in person in a way that builds positive, effective customer relations. Respond to enquiries and complaints from customers, using available records, governing electrical inspection rules and fee regulations relative to inspection procedures, fee applications, status of service connections, deficiency notice processing, account clarifications, inspection service requirements, etc. referring technical matters to Technical Advisor and highly contentious to Senior Inspection Representative.
Process incoming mail relative to applications, fee payments, credit notes, correspondence from lawyers, government agencies, power supply authorities, and fire departments, building departments, requests for refunds and general correspondence. Forward service layouts, special inspection requests, referrals, returned defect and deficiency notices, ready for inspection notifications to the appropriate Inspector. Follow up and provide the required information and forward correspondence to appropriate staff for further processing.
Handle payments from customers paying their accounts over the counter. Input payment information into the computer system. At the counter, complete inspection applications if required, obtain all pertinent information and confirm inspection dates after discussions with appropriate inspector.
Prepare various accounting reports from summary of inspector's monthly and quarterly reports and other computerized control statements and statistics. Prepare weekly statistical spreadsheets for Senior Inspectors, update area tables, Inspector table, applicant table in MEPS.
Contact customers, contractors, supply authorities, fire departments, etc, regarding Inspection products and services, training courses, new marketing initiatives, customer feedback on services provided. Take messages from customers and relay to Inspectors.
Provide a search of records service to lawyers' offices on a fee for service basis.
Maintain control files, records and other memoranda, update various tables required by Inspection Offices. Check and destroy records in accordance with established retention schedules.
May be required to train others in the operation of the computerized electrical inspection system. Provide input to others regarding system enhancements. Perform minor routine maintenance and troubleshooting, referring to inspection computer support team or supervisor when problems are more complex.
Maintain inventory of office furniture and equipment, stationery and manual levels and prepare requisitions for stationery requirements, local purchases or standards stores orders for supervisory approval and further processing.
Prepare various forms, correspondence, form letters, sick reports, accident forms, Fire Marshall's reports, requisitions, cut-off notices, etc. from hand-written material and in accordance with Ontario Hydro procedures and appropriate signatures. Compose, type and sign some letters relative to the above as requested by Supervisor.
May be required to prepare a variety of payroll and personnel related forms in accordance with data processing procedures, collective agreements, Personnel Policies and Procedures, etc. to implement data regarding appointments, reclassifications, transfers, terminations address changes, relief and overtime pay, etc. Calculate correct amount of pay and completed input forms. Forward completed forms to appropriate signing authority Territory Office for inputting. Process weekly time exception report noting vacations, sickness and other absenteeism.
May be required to assist Supervisor in the preparation of the annual budget. Provide to Supervisor information regarding amount to be budgeted for office expenses, overtime, other miscellaneous accounts, etc., based on historical data and future needs.
